The role of the Executive Assistant is to ensure an effective and efficient office and to represent the executive, both internally and externally, in a manner that corresponds to the professional nature of the office. The role must represent the brand of The New York Times Company and do so in an increasingly digital media world. This role is the assistant to the Executive Vice President of Advertising, and the person seeking it should have an interest in pursuing a career in advertising sales.
Responsibilities:
- Ensure efficient, effective and economical facilitation of general office administration
- Communicate and manage the flow of office management policies and procedures
- Schedule appointments, interviews, conference calls and meetings including booking conference rooms
- Manage travel bookings of airfare and hotels while adhering to company policies
- Enter monthly Concur Expense Reports
- Maintain good working relationships with vendors/suppliers and the Facilities Department
- Perform other duties as required, including preparing various reports, coordinate vacation schedules, track days off (vacation, personal, sick), etc.
Qualifications:
- Bachelor’s degree
- 1-2 years of industry experience preferred, providing administrative support for senior executive
- Demonstrated ability to prioritize and meet deadlines in a fast-paced environment
- Able to effectively interact with all levels of management and other staff
- Excellent written and verbal communication skills, strong organizational skills, and able to take initiative and lead efforts as needed in support of customer business objectives
- Strong interpersonal skills
- Manage multiple tasks simultaneously and meet deadlines
- Sense of responsibility and ability to adapt
